Supplier products (purchased items)
What you will have: You know what a supplier product is, where it comes from and how to find what you buy and at what price.
Purchase prices stay organized item by item, which speeds up expense entry and gives your products a reference purchase price.
Before you start
Why this matters
You do not only buy what you resell: bags, fuel, rent, raw materials. Supplier products are the list of everything you buy, with its price. They save you from retyping every line of your expenses, and they give your products a reference purchase price until a real purchase has been recorded.
Summary
A supplier product is something you buy: it has a title, a price, and can be tied to a supplier, to shops and to a product in your catalog. Every line of an expense is a supplier product. Most are created on their own when you record your expenses, your purchases and the cost prices of your products; the Supplier products screen is for finding them, correcting them and creating some by hand.
Prerequisites
- The
products.viewpermission to see the list, products.createto create an item, products.updateto edit it,products.deleteto delete it. - No supplier is required: an item can exist without a supplier.
Where supplier products come from
| What you do | What Genuka creates |
|---|---|
| You type an unknown line in Expense items of a new expense | A supplier product with that name and that price |
| You enter the Cost price of a variant on a product's page | A supplier product linked to that variant, carrying that price |
| You record a purchase of goods at a price never seen before for a variant | A supplier product linked to that variant, at that price |
| You click Add supplier product | A supplier product created by hand |
Steps: viewing and finding an item
- Open Settings › Finance › Supplier Products (
/supplierproducts). The page is titled Supplier products. - At the top, three indicators: Total supplier products, Suppliers and Average price.
- The list shows the Name, the Price and the Shops of each item. The filters let you sort by State (Published or Draft), by creation date and by shop.
- Click an item to open its page. The statistics block shows how many you bought and in how many expenses; See more opens the detail.
Steps: creating an item by hand
- In the list, click Add supplier product.
- Enter the Title (required) and the purchase Price. Add if needed a Description, a SKU, a Barcode and images.
- Choose the Shops concerned and, in Supplier, the supplier who sells it to you.
- Click Save product.
The item is then suggested when you type its name in the Expense items of a new expense, with its price already filled in.

What the price of a supplier product is used for
- In an expense: choosing an existing item fills the line with its price.
- For your products: when you add a product to a purchase or a stock entry, Genuka suggests as purchase price the last price actually paid. If there is none yet, it suggests the price of the supplier product linked to that product; the line then shows "supplier price" instead of "last purchase".
Edge cases and common mistakes
- A supplier product is not a product in your catalog. Creating it creates neither a sellable product nor stock. An expense made of supplier products brings nothing into stock: for that, use a purchase of goods.
- The same product appears several times. Each purchase of goods at a price not yet known for a variant creates a new supplier product. Several lines with the same name but different prices thus keep a record of your successive prices.
- Linking a hand-made item to a catalog product. The Supplier products screen does not offer this link. To give a product a reference price, enter its Cost price on the product's page.
- Choosing an item's supplier. In Supplier, select an existing supplier. If they do not exist yet, create them first from Suppliers.
- Deleting an item. It disappears from the list and is no longer suggested in expenses.
FAQ
What is the difference with the Products tab of a supplier record? The Products tab of a supplier record lists the catalog products attached to that supplier. Supplier products are the things you buy, resold or not.
Why did my rent expense create an item? Because every expense line is a supplier product. Next time, type "Rent" in the expense items and pick the existing item.
Does the item's price change when I buy at a higher price? No. An expense records the line's price without touching the item's price. For a catalog product, it is the last price actually paid that is suggested for later purchases.
