Check what the assistant does (sources, confirmations, limits)
What you will have: You can trace the source of a figure given by the assistant and you know what it will never do without your agreement.
You can hand questions and tasks to the assistant without risking a decision based on an invented figure or an unwanted deletion.
Before you start
Why it matters
An assistant that is confidently wrong is worse than no assistant. Genuka frames its own in three ways: every figure comes from a reading of your data and can be checked, sensitive changes wait for your agreement, and the assistant can never do more than your account is allowed to do. This lesson shows you how to control each of these points.
Summary
- Figures: the assistant reads your data before answering and can give the link to the screen that shows the same figure.
- Confirmations: editing, deleting, recording a payment or launching a send goes through a Confirm / Cancel card.
- Rights: the assistant acts with your permissions, no more, no less.
Prerequisites
- The
agent.accesspermission. - Having done the lesson Ask the assistant.
Steps
1. Check a figure
- Ask your question, for example "revenue of last week".
- Spot in the answer the period and the shop used: a real figure for the wrong period is still wrong.
- Ask "where does this figure come from?" or "give me the link". The figure tools return a link to the dashboard screen that redoes the same reading: open it and compare.
2. Approve or refuse an action
- Ask for a change, for example "set order 1024 to delivered" or "delete product X".
- The assistant executes nothing: it shows a confirmation card that summarizes the action and the planned changes.
- Re-read the card, then click Confirm (or Delete for a deletion) or Cancel.
- The card then shows Done, Cancelled or Action failed.
3. Check what the assistant did
Open the screen concerned (the order, the product, the customer list) to see the result. If in doubt, click Bad answer under the answer: the Genuka team receives the signal.
What needs your confirmation, and what doesn't
| Type of action | Confirmation |
|---|---|
| Read, count, analyze, draw a chart, generate a report | None: nothing is changed. |
| Edit or delete an order, a product, a variant, a customer, a supplier, a tag, a discount, a campaign, a workflow, an accounting entry | Confirmation card |
| Record a payment, an expense, a customer or supplier deposit, a stock entry, a loss, a transfer | Confirmation card |
| Launch a campaign, send a campaign test message, retry failed sends | Confirmation card |
| Change a company setting, the currency, document numbering, the subscription | Confirmation card |
| Create an order, a customer, a product, a supplier, a tag, a discount, a draft campaign, a WhatsApp template, a workflow; send an invoice; reply to a customer in the Inbox | Executed right away, no card |
Fields and options
| Card element | Purpose |
|---|---|
| Title and summary | What the assistant is about to do, in plain words. |
| Changes | The values that will change. |
| Confirm / Delete | Executes exactly what is displayed, with no new interpretation by the AI. |
| Cancel | Drops the action. Nothing is changed. |
Edge cases and common mistakes
- The card no longer responds. A confirmation request expires after one hour. Ask the assistant for the action again.
- "This action has already been executed." The card was already confirmed, for example in another tab. Nothing is redone.
- Confirming fails although the assistant proposed the action. When you confirm, Genuka re-checks the rights of the person who clicks. A colleague without the right to delete a product can't validate a deletion.
- A figure shown then corrected. The answer appears as it is written. If the assistant writes a figure that no reading gave it, Genuka detects it afterwards and asks it to correct itself in the conversation. Trust the correction.
- The assistant gives no purchase price or margin. These figures are only shown to members who have the
products.costpermission ("Manage cost products"): without it, the assistant removes them from its answers, even if it read them. Give it to the role concerned to see them. - A calculation done "in its head". A margin, an average or a percentage must come from a reading of your data, not from an AI calculation. If the assistant gives no link for such a figure, ask it to read it again.
- A creation executed without a card. This is the intended behavior for the creations listed above. To undo, delete or edit the created item (which will ask for a confirmation).
FAQ
Can the assistant see what I'm not allowed to see? No. The list of actions it can use is filtered by your permissions, and each action is re-checked when it runs.
Can the assistant delete something by itself? No. Every deletion waits for you to click Delete in the card.
And on WhatsApp? The same rules apply: the confirmation card becomes buttons in the conversation.
What if I connect Claude or ChatGPT to my account? Through that connection, edits, deletions and payments are not available at all, for lack of a confirmation card. See Connect ChatGPT or Claude.
