Generate, receive and share reports

Essential8 minChecked on 11/3/2026

What you will have: You generate a PDF report over the period of your choice and you know which one arrives on its own on WhatsApp.

The week's figures arrive without a spreadsheet or retyping, and can be passed to a partner or an accountant as a link.

Why this matters

A partner, a banker or an accountant often wants "the report for the month", not access to the software. The reports center produces a clean PDF in a few clicks over the period you want: activity, sales by shop or by salesperson, stock, cash, receivables, payables. And every week and every month, an activity report arrives on its own on WhatsApp.

Summary

Settings › Sales › Reports has two tabs: Generate (the catalog of reports) and History (the reports already produced, to view again, download or share). Generation runs in the background; you are notified when the report is ready.

Prerequisites

  • To view the history: reports.view (or stats.view).
  • To generate or delete a report: reports.generate (or stats.view).
  • Each section of a report also requires the matching right (stock, cash, expenses, receivables…). A section your role cannot see is removed from the report.

Steps

Generating a report

  1. Open Settings › Sales › Reports, Generate tab.
  2. Choose a report from the catalog (table below).
  3. Set the Period: Today, This week, This month or Custom range (Start date, End date).
  4. Optional: Notify me via (Email, WhatsApp), Shops (empty = the whole company), Sections (empty = all).
  5. Click Generate. The message "Report queued — you'll be notified when it's ready" shows and you move to the History.

Finding and sharing a report

In History, each row shows Type, Period, Status (In progress, Ready, Failed) and the Generated date. The Actions menu offers:

  • View online;
  • Download PDF;
  • Copy link;
  • Share on WhatsApp (opens WhatsApp with the report's link, to send to whoever you want);
  • Delete (the report and its PDF disappear permanently).

The catalog

Depending on your rights, some reports do not appear.

Reports that arrive on their own

ReportWhenFor which companies
Weekly activity reportEvery Monday, for the past weekThose that recorded at least one order during the week
Monthly activity reportOn the 1st of each month, for the past monthThose that recorded at least one order during the month

They are sent on WhatsApp, PDF attached, to each team member who has a phone number on their profile and the right to see statistics (stats.view). They also appear in the History. Their frequency and recipients cannot be set from the dashboard.

Edge cases and common mistakes

  • "No PDF available for this report yet". The report is still In progress; wait for it to become Ready.
  • "Failed" status. Run the generation again; if the failure repeats, reduce the period or the number of shops.
  • A section is missing from the report. Your role does not have the right to see it; the report flags this discreetly.
  • I do not receive the Monday report. Check that your profile has a phone number and that your role has stats.view, and that at least one order was recorded the previous week.
  • The copied link can be opened by whoever receives it. Only pass it to people you trust.

FAQ

Can I receive a report every day? Not automatically. Generate the Daily activity report for Today when you need it, or ask the AI assistant.

Is the report's revenue the same as the dashboard's? Yes: reports follow your calculation basis setting (invoiced or collected).

Can I limit a report to one shop? Yes, with the Shops field at generation time.
