Choose the revenue calculation basis (invoiced or collected)
What you will have: Your revenue is calculated the way you really count it: at invoicing or at collection.
Everyone in the company talks about the same figure, and differences between screens are explained instead of worrying.
Before you start
Why this matters
"How much did I sell this month?" has two answers: what you invoiced, and what you actually collected. A business that sells a lot on credit sees a big gap between the two. Genuka lets you choose the answer displayed as "Total sales", and what it includes (taxes, shipping, fees, tips).
Summary
The setting is in Settings › Company › Global Settings, Revenue tab. It changes the calculation of the dashboard's Total Sales and Gross profit, and of several other screens, but not that of Accounting.
Prerequisites
- Permission:
company.*(company management). Without it, the Revenue tab does not appear.
Steps
- Open Settings › Company › Global Settings, then the Revenue tab.
- In Revenue basis, choose:
- Invoiced (billed): the default setting;
- Collected (cashed in).
- Tick or untick Include shipping, Include taxes, Include fees and Include tips. All are unticked by default.
- Click Save.
What each basis counts
| Basis | What is counted | On which date |
|---|---|---|
| Invoiced | Invoiced orders, paid or not, discounts deducted. | The order's creation date. |
| Collected | Payments received on invoiced orders. | The creation date of the paid order, not the payment date. |
Consequence of the Collected basis: a payment received in March for a February order counts in February's figure, not March's. The figure of a past month can therefore still go up when customers settle their debts.
Gross profit follows the same basis: on Collected, the purchase cost of the products is only deducted in proportion to what was collected (an unpaid order brings neither a sale nor a cost).
Where the setting applies
| Screen | Follows the setting? |
|---|---|
| Dashboard: Total Sales and Gross profit, and their breakdown by source and by shop | Yes |
| Analytics, Revenue tab: Revenue | Yes |
| Orders overview | Yes |
| Generated reports (Reports) | Yes |
| Accounting (cards and financial statements) | No: always the invoiced revenue |
| Monthly recap | No: its own calculation |
The (i) of the dashboard's Total Sales card shows the basis in force.
Edge cases and common mistakes
- On the Collected basis, the "Include…" boxes change nothing. Genuka adds up payments as they were received, taxes and fees included. The dashboard tooltip suggests otherwise; the calculation described here is the one that applies.
- The Accounting figure does not match the dashboard. This is expected on the Collected basis: Accounting stays on invoiced revenue, as bookkeeping requires.
- The monthly recap gives another figure. It adds up the amount of the invoices and purchase orders created in the month, regardless of this setting.
- A custom dashboard widget refuses the "revenue" measure. On the Collected basis, this measure on orders is not available; use the payments source.
- The number of orders does not change. New orders counts invoiced orders on both bases.
FAQ
Which basis should I choose? Invoiced if you want to follow your commercial activity (what you sold). Collected if you often sell on credit and want to manage the money that actually came in.
Should my figure include VAT? By default no: revenue is excluding tax. Tick Include taxes if you prefer to read an amount including tax (on the Invoiced basis).
Does changing the basis modify my data? No. Only the display changes; you can go back at any time.
